Mobile Expense Management Designed Around Your Organisation's Finance Architecture
icitech designs and develops ICIExpenseIQ — a mobile expense management solution in which expense categories, approval levels, cost-centre structures, and accounting integrations are all configured to your organisation's own finance rules — for organisations with diverse user groups ranging from travelling teams and field sales operations to project-based staff and head-office personnel.

02 The problem
Tailored Architecture, Not an Off-the-Shelf Package
ICIExpenseIQ is not a rebranded expense package. Expenditure policies, spending limits, approval hierarchies, advance payment processes, and corporate structures are designed specifically around your organisation's finance operations. This means your teams are not asked to reshape their workflows to fit a vendor's licensing constraints: the solution adapts to your processes, not the other way around. Integrations with your existing ERP, CRM, HR, BI, data warehouse, and corporate card systems are established via API or file-based connections, so employee records, cost centres, project codes, and card transactions can be fed from your central systems. Approved records can be posted automatically to your ERP or accounting system, preserving your existing financial record infrastructure.

03 Capabilities
Photograph the Receipt — AI Completes the Entry
When a user photographs a receipt or invoice, OCR and document-understanding models automatically detect fields such as date, amount, currency, supplier name, and tax information. The system proposes an expense category based on document content and the user's historical behaviour; the user reviews only the fields that require attention and submits the record. Classification workflows can be defined for multi-page invoices and varied document types. Time lost to manual data entry and transcription errors is substantially reduced at this stage.
Policy Enforcement and Anomaly Detection
Your organisation's expense policies are defined within ICIExpenseIQ as rule sets — daily meal allowances, accommodation caps, travel policy requirements, mandatory project codes, or manager sign-off thresholds are all evaluated automatically at the point of submission. The AI flags situations such as a receipt submitted more than once, an amount that is unexpected for a given category, or expenditure that falls outside policy; both the employee and the approver are notified. Final authority rests with the designated approver.
LLM-Based Finance Assistant
ICIExpenseIQ's large language model assistant gives employees natural-language support on expense policy questions. Queries such as "What is my daily meal allowance for international travel?" or "Why has this expense been routed for additional approval?" are answered directly from your organisation's approved policy documentation. Finance teams can interrogate expenditure data in the same way: the fastest-growing expense categories, the departments where out-of-policy transactions are concentrated, or period-on-period movements can be summarised within the permissions applicable to each user. Hundreds of lines of expenditure data become a concise set of action notes, allowing managers to move from transaction review to interpreting budget behaviour.
Mobile Approval Workflows and Travel Processes
Expenses can be routed to different approval workflows by department, amount, project, employee grade, or expenditure category. A manager reviews the expense, views the supporting document, and approves — all from a mobile device. Multi-level approval, delegation, SLA reminders, and automatic escalation rules can all be configured. ICIExpenseIQ can be extended to cover pre-travel advance and budget processes: a travel request, estimated cost, and advance record can be created; once the trip is complete, expenses are matched to the relevant records, and any unspent advance, additional payment, or foreign-exchange difference is calculated automatically and posted to the ERP.
Corporate Card Integration and ERP Connectivity
Corporate credit card transactions are pulled from the bank or ERP system and matched against employee expense records. The AI proposes likely receipt matches based on transaction description and amount; the user confirms the correct match. Integration can be established with SAP, Microsoft Dynamics 365, Oracle, Logo, Netsis, and in-house accounting solutions. Expense codes, cost centres, project codes, and employee data are all fed from your central system.
04 How it works
Multi-Entity, Multi-Currency, and Consolidated Visibility
For holding groups and international structures, ICIExpenseIQ can be configured so that different legal entities, cost centres, project codes, and expenditure policies are managed on a single platform under their own distinct rules. For expenditure incurred in foreign currencies, the local-currency equivalent is calculated with reference to the transaction date, the exchange-rate source, and your accounting policy. The expense experience for teams working across different countries is standardised, while finance teams gain consolidated visibility across the whole organisation.

Spend Intelligence and Data Governance
Dashboard views present indicators such as total expenditure, category breakdown, departmental budget utilisation, approval turnaround time, and the proportion of out-of-policy transactions. The AI surfaces periodic anomalies and unusual increases. Every transaction is recorded with the user, date, status, and full approval history; role-based access controls mean each user sees only the data within their authorised scope. Documents and financial data are protected in accordance with your organisation's data retention and access policies — buyers operating under UK GDPR will recognise the data minimisation and access-control principles that apply. The data fields passed to AI models and the outputs that are retained can be restricted in line with your organisation's governance requirements.
Working with icitech: The Project Approach
ICIExpenseIQ is a digital product designed to your organisation's requirements by icitech's analysis, UX/UI, software engineering, integration, data, and artificial intelligence teams. The engagement begins with a discovery and process analysis phase in which your existing technology architecture and data sources are reviewed and the required mobile experience and integration architecture are designed. This is followed by a proof of concept, pilot deployment, organisation-wide rollout, and a continuous improvement programme. Modules, business rules, screens, reports, AI and LLM capabilities, and integrations are scoped only to the extent your organisation requires.

06 FAQ
Frequently Asked Questions
01Is ICIExpenseIQ a standard product or is it developed specifically for our organisation?
The architecture is redesigned for each organisation according to its business rules and finance structure. This is a tailored development engagement, not an off-the-shelf installation.
02Our expense policies are complex — can the system genuinely accommodate them?
Rules specific to your organisation — approval levels, spending limits, cost-centre hierarchies — are built directly into the system. Policy breaches are detected and flagged automatically.
03How do employees submit receipts?
Employees photograph the receipt through the mobile application and the AI populates the required fields automatically. The need for manual data entry is largely eliminated.
04We have multiple legal entities and operate in several currencies — can all of this be managed from a single view?
The system supports multi-entity and multi-currency structures, with consolidated reporting that gives a single view of expenditure across the whole organisation.
05Can ICIExpenseIQ integrate with our existing ERP or accounting system?
Integration development for your specific ERP and accounting infrastructure is included in the project scope. Data transfer is automated so that manual intervention is not required.
06Can corporate card transactions be matched to expense records automatically?
Corporate card integration is supported, with transactions matched automatically to the relevant expense record. Employees do not need to enter each card transaction separately.
07Can approvals be processed when managers are away from the office or travelling?
Managers can run approval workflows entirely from a mobile device, whether travelling or in the field. There is no dependency on a desktop environment.
08How does the system identify suspicious or unusual expenditure?
AI-assisted anomaly detection automatically flags out-of-policy transactions or expenditure that deviates from established patterns. Finance teams see these records highlighted for priority review.
09How can our finance team query spend data without writing reports manually?
The integrated LLM-based assistant allows natural-language queries directly against expenditure data. No technical knowledge or specialist skills such as SQL are required.
10How does the project get started and what does the process look like?
The first phase is a discovery exercise covering your finance architecture, user groups, and integration requirements. Scope, technical architecture, and a project plan are then agreed jointly on the basis of that analysis.
