## The Operational Cost of Fragmented Supplier Processes

In sectors such as food production and catering, where quality and compliance requirements are intensive, supplier management extends well beyond maintaining a list of approved companies. When product definitions, price lists, certificate validity, audit findings, and corrective action records are spread across separate systems and channels, ownership of each process becomes difficult to sustain. Procurement and quality teams spend disproportionate effort simply establishing the current status of any given supplier or issue. Once document tracking migrates to email threads, audit history and corrective action records lose systematic visibility and traceability.

## Positioning the Supplier as an Active Participant

The central design decision icitech made on this project was to treat the supplier not as a passive data entry in a back-office record but as a direct external participant in the portal itself. Within the TURKISH DO & CO SRM Portal, each supplier organisation manages its own information, product definitions, price lists, and requested documents through the portal directly. The buying organisation conducts approval workflows, records audits, assigns tasks, and carries out evaluations within the same system context. This approach moves communication between suppliers and the procurement team into structured workflows rather than unmanaged correspondence.

### Secure External User Access

For external user access the portal supports email and password authentication together with a Microsoft Authenticator-based two-factor verification flow. QR code registration and time-based verification codes are part of the supplier onboarding process. This arrangement allows Turkish DO & CO to manage supplier access in line with its organisational security requirements.

## Portal Scope: From Company Registration to Audit Management

The TURKISH DO & CO SRM Portal brings multiple dimensions of the supplier relationship together in a shared interface. The scope covers company information and contact records, branch definitions, product definitions and technical context, price lists and approval workflows, certificate management and validity tracking, survey and document upload flows, audit records, corrective action management, task assignments, and requests. The dashboard view gives each user a single screen summarising their open tasks, upcoming audit and certificate matters, recent activity, and notifications.

## Project Outcomes

The TURKISH DO & CO SRM Portal moves supplier data and process management out of disparate channels and into a shared platform. Company, product, pricing, document, audit, and corrective action history all become traceable within a single user experience. Each process step — from supplier onboarding to audit closure — is recorded and trackable. The portal is live at srm.doco.com.tr and open to supplier access.

## Frequently Asked Questions

01What is the TURKISH DO & CO SRM Portal? It is a management platform that consolidates all supplier-related business processes into a single digital environment. Its scope runs from company registration through to audit tracking and corrective action management.

02Who developed the portal? The portal was designed and built by icitech, with Turkish DO & CO's operational requirements forming the basis for the development.

03Who can access the portal? Both internal teams and approved suppliers are included in the platform. A dedicated secure access infrastructure has been configured for external users.

04How are suppliers brought on to the platform?Suppliers are onboarded as active users with their own portal access, allowing them to participate directly in the relevant processes rather than being managed through intermediaries.

05What are the main modules in the portal? The principal modules cover company registration, price lists, audit management, and corrective action tracking. All of these components are presented within a common interface.

06How are audit processes managed?Audits can be planned, monitored, and closed through the portal, replacing the fragmented tracking that paper-based or email-driven approaches typically produce.

07What does the corrective action module do?Non-conformances raised against suppliers are logged in the system and tracked through to resolution, giving procurement and quality teams transparency and accountability over remedial steps.

08How does price list management work?Supplier pricing is updated centrally and made available to all authorised users, reducing the errors that arise from inconsistent or out-of-date pricing data held across separate locations.

09How does the portal improve supply chain efficiency?Consolidating processes that previously ran across independent systems into a single point significantly reduces operational overhead. Teams can reach decisions more quickly and with less coordination effort.

10How is the platform's security architecture structured?External user access is protected by dedicated security layers, including multi-factor authentication, to ensure that sensitive supplier data remains protected against unauthorised access.
